This Privacy Policy explains how Demo Room ("we", "us") collects, uses, and protects your personal information when you contact us, submit a form, book a service, request an invoice, make a payment, attend an event, or otherwise interact with our business or website. By using demo-room.com you agree to this policy. We comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law.
Information we collect
We collect information you provide directly, including your name, email address, phone number, company name, billing details, transaction history, booking details, and related communication history. We also collect basic, non-identifying analytics data about how the site is used.
How we use it
We use this information to process payments, send receipts and invoices, manage bookings, respond to inquiries, provide customer support, maintain business records, and improve our services. We do not sell your personal information.
Payment processing and Square
Payments are processed by Square, Inc. When you complete a transaction with us, Square may automatically create or update a customer profile (an Instant Profile) associated with that transaction. We do not store payment card numbers. Square's privacy practices are described in the Square Privacy Notice at squareup.com/legal/privacy. We do not intentionally store sensitive personal information, government identification numbers, or health information in customer records.
Third-party services
We use trusted third parties to operate the site and services, including Square for payment processing and customer records, scheduling and booking tools, video hosting, an embedded 3D virtual tour, an embedded map, and form delivery. These providers process data only as needed to deliver their service, under their own privacy policies.
Marketing communications
We may contact you about your inquiry, booking, invoice, payment, or event. We will only send marketing communications where permitted by law. You can unsubscribe or ask us to stop at any time by emailing [email protected] or using the unsubscribe link in any message.
Cookies and analytics
Our website uses cookies and analytics tools (including Cloudflare analytics) to improve user experience and measure traffic. These tools collect non-identifying data such as page views and general location. See our Cookie Policy for details and how to control them.

We retain your information for as long as necessary to fulfill the purposes described above or as required by applicable law, including accounting and tax obligations.
Your rights
You may contact us at any time to request access to your personal information, correct it, ask questions about how it is used, or request deletion where applicable. We will respond within a reasonable timeframe.
Photography & video at Demo Room
When you visit Demo Room, you may be photographed, filmed, or recorded as part of our normal operations. By entering the venue, you consent to this, and to Demo Room using that content in our promotional materials, advertising, social media, and marketing, without compensation. What we capture: we use fixed cameras, staff-operated cameras, and mobile devices throughout the venue to capture photo and video content. Some events may also include audio recording (for example, mic'd performances or interviews); if audio is being recorded at a specific event, we'll note it at that event's entrance. How we use it: footage and photos may appear on our website, social channels, ad campaigns, event recaps, and partner marketing. We do not sell or license this content to unrelated third parties, and we don't use it to falsely suggest anyone endorses a product or service. If you'd rather not be filmed: let a staff member know when you arrive and we'll do our best to keep you out of frame and away from active shooting areas. If you appear in something we've published and would like it removed, contact us below and we'll take it down. Minors: we do not knowingly feature an identifiable minor in published photo or video content without a parent or guardian's separate written consent. If you're attending with a minor and have questions about this, please speak with staff. Events hosted by others: some events at Demo Room are produced by outside clients, who may bring their own photo/video crews. Their use of any footage they capture is governed by their own policies, not this one; ask the event host directly if you have questions. Your rights: you can ask us what footage or photos we hold of you, request a copy, or request that identifiable content be deleted or removed from anything we've published.
